The People in Need organization was established in 1992 by a group of Czech war correspondents who were no longer satisfied with merely relaying information about ongoing conflicts and began sending out aid. It gradually became established as a professional humanitarian organization striving to provide aid in troubled regions and support adherence to human rights around the world.
Throughout our over 26 years of its existence, People in Need has become one of the biggest non-profit organizations in Central Europe. In addition to humanitarian aid and human rights, it now also targets education and helps people living in social exclusion.
We are part of Alliance 2015, a strategic network of seven European non-governmental 2qorganizations engaged in humanitarian aid and development projects. This collaboration increases effectiveness, both in working in the target countries and in campaigns aimed at influencing the attitudes of politicians and the general public in Europe. In our over 16 years operation in Ethiopia, has focused on projects in five main areas of interest: Education and Social protection, Environment, Livelihood and Agriculture, Water, sanitation and Hygiene (WASH) and Emergency programs.
PIN currently invites qualified applicants for the position of: Logistic Assistant for the specific project entitled “BHA Emergency project’’ for Emergency Program.

Job Description
The positions involve, The Employee is obligated not to purvey any information concerning any of PIN activities to outsiders (including former PIN employees, who may no more be informed about current process in PIN).
PIN is a relief and development organization whose aim is to help and assist needy people. The Employee’s position within the institution requires contacts with outside; he or she therefore conveys a certain image of the PIN. PIN expects its Employees to behave in appropriate manners at all times and in all places. All members of staff should ensure their attitudes correspond to PIN principles, both during and after working hours.
The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately and reporting periodically to supervisors.
Under the supervision and support of the various manuals, fleet SOP standard and checklists preparation together with the log.co and security advisor and making sure it is applied in the field.
Responsible to provide technical guidance on guest house management, expat communication, stock management and admin activities related with Hawassa Guest house, asset recording and assets management and counting and filling documentations and other logistics where there are asset facilities to build put together and review technical support and service delivery; and supervise guest house guards and cleaner performance.
Logistics Assistant specific tasks are
Organizational and technical management
- Advise and manage guest house plans and the resources available for completion of the guests (expats) support.
- Apply all safety measures on PIN Guest house premises and promote safety culture in compound equipped
- Set up and track appropriate documents.
- Manage the guest house admin report timely and share to logistic coordinator Responsible for implementation of the scope of work as related to logistic management, in conformance with PIN resources and in accordance with the approved Project Schedule.
- Preparation of the warehouse/storage facilities for goods receipt and dispatch and assists with loading and offloading activities.
- dispatch PIN stock as requested, according to the allocation and complying the PIN receiving and dispatching procedure.
- Ensure to sign on the GDN, GRN, IR to acknowledge the receipt and dispatching of the stocks and submit the summarized daily report to roving logistics and WTO.
- Ensures that stock cards are put on respective stacks and balance quantities stated on stock cards are equal to the stack and record any spillage collected in warehouse in the Bin cards.
- Prepare necessary documents for goods receipt, dispatch, damage, loss, and disposal, and file records per established standards.
HR Management
- Organize and coordinate Guest house guards, and cleaners.
- To set and communicate clear and well-understood team PIN or targets
- manage in Appraisals of the logistics based on the performance and competency
- Maintain a positive attitude and appropriate work environment among the team.
Logistics Supervision
- Professionally supervise GH guards, cleaners, guarders, PIN property and GH compound maintenance and GH services by coordinating the overall logistics management
- Inspect all phases of assets before delivery to ensure compliance with assets checklist and with PIN regulations.
- Prepare progress reports and recommend progress payments for completed work on inspected.
- Prepare and apply monitoring tools and templates with MS software
- Documenting, Daily checklist, work acceptance payments, minutes and other relevant documents.
Budget Administration
- Prepares costs estimates, schedule and budget for GH negotiates and manages works, contracts and rental houses together with senior management.
- Together with logistics and procurement department reviews PR/ specifications procurement with Organization standards; interprets specifications and District policies and initiates or reviews change orders
- Support in administering contracts, prepare take off sheets, and oversees the day-to-day progress of contractors. Prepares progress payments, contract change orders; interpretation of office plans and specifications and coordinates final inspection for purchases(s).
Financial management
- Regularly monitor expenditure and recommend solutions that provide the best value for money in accordance with the allocated budget.
- Adhere to PIN internal Financial systems
Coordination
- Coordinated guards, cleaners and office assistance and work executions
- Step- in when site supervisors are on leave and resign
- Coordinate with procurement and track material deliveries and returns for each work site
- Keep the line manager informed of all activities with daily summaries, weekly reports and regular meetings.
Information
- Immediately inform the line manager of any problems arising on the logistics, particularly with regard to damage, loss, attempted break-ins or theft.
Reporting
- Prepare reports to be compiled together with log.co. at the end of logistics report for the organization
- Participate in report preparation for logistics/ on regular basis
Other
- Perform other related duties assigned by immediate supervisor and management
Logistic assistant Specific activities
- PIN is a relief and development organization whose aim is to help and assist needy people. The Employee’s position within the institution requires contacts with outside; he or she therefore conveys a certain image of the PIN and should incorporate in his/ her Duty and respect the Basic Humanitarian principles
- The Employer stipulates the right to assign the Employee any other kind of work derived from his specialization. In case of urgent work and such like the Employee may be asked to work overtime as well as during public and other holidays.
- The Employee is obligated not to purvey any information concerning any of PIN activities to outsiders (including former PIN employees, who may no more be informed about current process in PIN).
- The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately.
Job Requirements
- Minimum Bachelor Degree in Logistics, Procurement and Supplies Management, Business Management and other social science related fields of studies
- Minimum one (1) year and above work experience in logistic and admin related areas.
- Experience with fleet management, warehouse and inventory handling, procurement, Office administration is preferable
- Culturally sensitive, the ability to work in teams/ isolated situation and stressful environments and under pressure of meeting deadlines
- Experience in networking, representation and coordination and negotiation skills with government, Donor, community and other agencies.
- Knowledge about core humanitarian standards
- Previous working experience in the INGO environment
- Computer friendly (Word, excel, power point, outlook etc)
- Excellent knowledge of spoken & written Amharic and English, and knowledge on local language is advantageous
