Job Description
TITLE: Supply Chain Assistant-Warehouse
REPORTS TO: Camp manager (Administratively) and Supply Chain Manager (Technically)
DUTY STATION: Tierkidi
GRADE/STEP: 9A
LENGTH: Definite
SCOPE: Reporting to the Camp Manager, the Supply Chain Assistant-Warehouse is responsible for the efficient operation of warehouse duties and activity. He/ she is responsible for proper warehouse management, Proper Warehouse Inventory, and asset movement and Warehousing Record Keeping. |
Specific DUTIES AND RESPONSIBILITES:
1. Proper Warehouse Management:
- Monitor security of IRC’s storage and supplies.
- Understand, implement and / or maintain standard IRC inventory management policies and procedures.
- Ensure the maintenance of warehouse building(s), fittings and equipment.
- Implement and ensure clear safety procedures of warehouse.
- Advise the Supply Chain Manager and Camp Manager of warehouse-specific issues or improvements.
- Controls the overall operation of the warehouse.
- Provide support for program team in mini items utilization, recording, reporting and controlling skills.
- Proper Warehouse Inventory and asset movement
- Implement and ensure clear loading & unloading procedures, correct stacking and turnover (FIFO) procedures.
- Advise supervisor of potential inventory shortage.
- Manage and document the receipt, handling, storage, release and reporting of goods through the IRC warehouse(s).
- Receive completed store’s request forms and prepare the goods for issuance.
- Ensure goods, equipment are signed for received on the request form (office expendables) or waybill (all other items).
- Identify materials required for disposal and develop its own file.
- Update the stock record cards and bin cards regularly.
- Conduct routine inventory inspection and submit report to the Supply Chain Manager in a timely manner.
- Maintain full and accurate inventory records.
- Undertake (documented) monthly and ad-hoc physical inventory checks.
- Provide on-time, standard monthly reports to the supply Chain Manager and Camp Manager.
- Update all program staff closed grant items for timely utilization.
- Ensures proper utilization of assets
- Ensures proper completion of equipment issue before release of equipment from the warehouse
- Handles maintenance of office equipment and office machines.
2. Warehousing Record Keeping
- Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.
- On a monthly basis, work with the Supply Chain manager and Camp Manager to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms.
- Ensures proper recording and labeling of assets.
- Ensures proper handing over of assets and equipment by the staff at point of departure.
- Ensures proper transfer and recording of equipment and office machines/computers and others/, furniture etc. from one person to the other.
- Makes record of obsolete/expired/damaged materials and equipment and reports to Supply Chain Manager and request disposal.
- Handles proper disposal of materials and equipment when getting approval for disposal.
- Prepares disposal reports immediately after approved disposal.
- File all disposed materials in compliance to SOP.
- Maintain the Warehouse activity book recording all outgoing and incoming receipts and activities.
3. Perform operational activities and manage Staff under supervision (Driver and guards)
- Plan and deploy vehicles for IRC activity in Tierkidi camp.
- Follow up maintenance of vehicles and supervise guards based in Tierkidi camp.
- Ensure safety and security of Tierkidi IRC compound.
- Supervise and coach guards in Tierkidi IRC compound.
- Fill time sheet for staff based in Tierkidi camp.
- Follow up maintenance of compound facility and office utility.
- Address compound facility and office need as deemed necessary.
Qualifications
- Education: Degree/Diploma in Procurement and supply chain management, Accounting, Business Administration, Commerce or Finance.
- Experience: 1 years for BA Degree & 3 years for Diploma. NGO experience is plus.
